We Are Hiring - Fertility Care Coordinator

NOW-fertility are seeking to appoint committed and compassionate individuals.

Working as part of our global, multidisciplinary team, you’ll be responsible for onboarding and coordinating patients undergoing fertility treatments at licensed clinics within the NOW-fertility network, helping them to make well-informed choices to maximise the chances of a successful outcome in the shortest and most stress-free time.

The qualities we are looking for are:

  • Customer care background
  • Experience in healthcare, fertility, women’s health or pharmaceuticals
  • IT literate
  • Fully conversant and comfortable with the use of virtual platforms to communicate with patients
  • Ability to speak fluently multiple languages, in addition to English

Full or part time positions are available. Employment type and remuneration are based on experience, working and residency status. If the post involves remote working no particular location is required, however for office working specific locations may be available.

Job Description – Fertility Care Coordinator

Reporting to

Patient Services Manager

Overview

To be responsible for onboarding and coordinating patients undergoing fertility treatments at licensed clinics within the NOW-fertility network. To be part of the multidisciplinary team striving to deliver patient-centred fertility care and to make the overall patient’s experience unique in every detail.

Key Responsibilities

  • To manage enquiries and leads efficiently with a view to converting to patients
  • To onboard new patients
  • To maintain regular communication with all patients
  • To conduct online face-to-face or telephone initial appointment with patients, in order to:
    • Introduce NOW-fertility and explain the full benefits and unique offering
    • Register the patient and partner (if appropriate) on the electronic system
    • Ensure all forms are duly sent, reviewed and completed
    • Collect additional information
    • Offer and organise face-to-face online appointment with consultant and nurses
    • Create patient electronic file and upload all the relevant documents
    • Present countries where treatment can take place according to patient’s needs and preferences matched to the legislation
    • Explain and give prices for treatment(s)
    • Answer all queries
  • To conduct online review face-to-face or telephone appointments with patients, in order to:
    • Review the individualised treatment plan recommended by the consultant
    • Explain the next steps
    • Present and discuss the costs and package options, according to treatment and country
    • Arrange together with the nurse all the required screening tests
    • Arrange together with the nurse collection and/or delivery of medications
    • Sign the treatment individualised cost plan and consent forms
    • Ensure all the required forms are reviewed, completed and made ready to be sent to the partner clinic where the patient will undergo treatment
    • Contact the recommended partner clinic
    • Confirm with the patient availability for starting treatment
    • Answer all queries
  • To be aware of Satellite Clinics in each country where patients can have investigations before, during and after the fertility treatment cycle
  • To ensure seamless communication and work between NOW-fertility team and patients
  • To request and follow up payments from patients
  • To ensure seamless communication and work between NOW-fertility team and Partner / Satellite Clinics
  • To assist patients with making appointments either in-person or online with the NOW-fertility clinical team or at the Partner / Satellite clinic
  • To work collaboratively within the entire NOW-fertility team
  • To work in a rota system, if required, to provide continuous advice and support to patients
  • To ensure records, including without any limitation past medical information, letters, reports, test results, etc. provided by patients and/or Partner / Satellite Clinics are always securely entered and available in the electronic medical file
  • To obtain patient feedback and testimonials at designated points during the treatment process
  • To contribute to educational and training resources, including printed material and video recordings for patients
  • To contribute to blogs and articles for the website, social media and general communication
  • To take part in educational and training events as well as quality management exercises, including audits and risk assessments
  • To ensure compliance with legislative requirements in relevant countries and organisational codes of practice
  • To handle patient data responsibly at all times and be compliant with mandatory training
  • To work collaboratively with internal and external colleagues, treating everyone fairly and equally and encouraging and embracing diversity within the team
  • To participate to in-person and/or virtual patient’s events, meetings and forums for any purpose
  • To represent NOW-fertility at events, meetings, forums and congresses, as required

Person Specification
